EmbedPeople takes the privacy of its website visitors and clients seriously.

This statement applies to all visitors of embedpeople.nl and embedpeople.com, to anyone who contacts us, and to our clients and candidates.

1. Who we are

EmbedPeople is a trade name of EmbedPeople B.V.

Our details:

For the purposes of the General Data Protection Regulation (GDPR), we are the data controller for the personal data we collect via this website.

2. What data we collect

We only collect data that is necessary for the purposes described below.

Data you provide to us

  • When you fill in the contact form: name, business email address, company name, any role you are looking for, desired timeline, and message.
  • When you schedule an introductory call via Calendly: name, email address, optionally company name, and additional questions.
  • When you contact us directly by email or phone: the information you share during that interaction.
  • When you subscribe to a newsletter: name and email address.

Data we automatically collect when you visit our website

  • IP address (anonymized where possible)
  • Browser type and operating system
  • Visited pages and time of visit
  • Referring website (how you arrived at our site)
  • Click behavior and interactions on the website

3. Why we process this data

Under the GDPR, we may only process personal data on a lawful basis. These are the purposes and legal bases we rely on:

4. How long we retain data

We do not retain your data longer than necessary for the purpose for which it was collected, or longer than required by law.

Specific retention periods:

  • Contact forms that do not result in an agreement: up to 12 months
  • Calendly bookings: up to 12 months after the meeting
  • Customer data of active clients: for the duration of the agreement plus 7 years thereafter (statutory tax retention obligation)
  • Applicants and candidates: up to 4 weeks after the end of the process, unless you give consent to retain your data longer
  • Newsletter subscriptions: as long as you remain subscribed. You can unsubscribe at any time via the link at the bottom of each newsletter
  • Website analytics: anonymized, up to 24 months

5. Who we share data with

We only share your personal data with third parties if this is necessary for our services or if we are legally required to do so. We never sell your data to third parties.

We have data processing agreements in place with all these parties, specifying how they handle your data. For parties outside the EU, we rely on the EU–US Data Privacy Framework or the European Commission’s Standard Contractual Clauses.

6. Transfers outside the EU

Some of our tools (such as Google, Meta, LinkedIn, Calendly) process data partly in the United States. We ensure this only happens based on valid legal safeguards, such as the EU–US Data Privacy Framework or Standard Contractual Clauses.

Our collaboration with professionals in South Africa is governed by a separate agreement. Personal data of clients is not automatically shared with our South African partners unless necessary for a specific placement. In such cases, we will inform you.

7. How we protect data

We take the security of personal data seriously. Our measures include, among others:

  • Encrypted connections (HTTPS) across the entire website
  • Access control: only employees who need the data have access
  • Strong passwords and multi-factor authentication on internal systems
  • Regular updates of software and systems
  • Backups of important data
  • Data processing agreements with all our suppliers

In the unlikely event of a data breach, we will act in accordance with GDPR requirements and notify the Dutch Data Protection Authority where required.

8. Your rights under the GDPR

Under the GDPR, you have several rights regarding your personal data. You can exercise these rights at any time by contacting us at [email protected].

We respond to requests within 30 days. In most cases, we will assist you much faster.

This privacy statement may be updated from time to time, for example if laws and regulations change or if we expand our services. The most current version is always available on this page. We recommend checking this page occasionally.
